Five ways to lower your Zoho CRM bill
Pay for the edition, users and apps you actually use. A short review of your Zoho subscription often finds savings.
Zoho subscriptions tend to grow by accident: a user added for a project and never removed, an edition upgraded for one feature, an app bought separately that a bundle already includes. A review once a year usually pays for itself. Here is what we look at.
1. Check the edition against the features you use
Zoho CRM comes in several editions, and each step up adds features and cost. Teams often upgrade for one capability, then never use the rest. List the features you rely on day to day and check which edition actually includes them. Sometimes a single need can be met another way, such as a function or an extension, instead of a whole edition upgrade.
2. Remove users who no longer need a licence
Look at who has logged in recently. Former staff, occasional users and people who only read reports often hold full licences. Deactivate the ones you don't need, and check whether occasional users could get what they need from scheduled reports or shared dashboards instead of a seat of their own.
3. Pay annually
If your team size is stable, annual billing costs less than paying month by month. Do it after you've right-sized the users and edition, not before.
4. Compare bundles with separate apps
Using CRM plus Books, Desk, Campaigns or other Zoho apps on separate subscriptions? Price the same team on Zoho One or the CRM Plus bundle. Whether a bundle saves money depends on how many apps and users you have, so do the arithmetic for your own numbers.
5. Retire overlapping tools
Many teams pay for a third-party tool that Zoho now covers: forms, e-signature, email sequences, scheduling. Check what your current Zoho subscription already includes before renewing anything else.
