Drip campaigns in Zoho CRM and Zoho Campaigns

Choose where your email sequence should run, define entry and exit rules, and test the handoff between marketing and sales.

A drip campaign sends a sequence of messages over time. The useful part is the behaviour around those messages: who enters, what happens between steps and when the sequence stops.

Our older comparison described Zoho Campaigns as a series of separately created one-off campaigns. That no longer describes its workflow capabilities. Today, consider both CRM automation and Campaigns workflows, then choose the home for the sequence based on its purpose.

Decide whether the sequence serves sales or marketing

A sales follow-up tied to a specific enquiry has different requirements from a welcome series for a mailing list. Start by naming the person who owns the process and the event that should start it.

This is a starting point for evaluation, not a promise that every account includes every feature. Check the capabilities and limits of the editions you use before designing the final sequence.

Use Zoho Campaigns workflows for a marketing sequence

Campaigns workflows combine a trigger with process components and actions. Zoho documents time-based drip campaigns built with email actions and waiting steps in its workflow use cases.

Draw the sequence before configuring it. For a short onboarding series, the outline might be a welcome email, a wait, a useful setup guide and a later check-in. For each step, identify why the recipient needs the message and what should happen if they have already completed the task.

Use branching when it answers a real difference in the customer's situation. A smaller workflow that your team can explain is easier to maintain than a collection of branches nobody remembers creating.

Keep CRM follow-up connected to the record

For a sales process, define the CRM status or event that makes the follow-up appropriate. Specify which owner should respond and what should prevent later automated messages.

Zoho's email workflow documentation includes an example of scheduled follow-up and a separate response-handling rule. Email workflow behaviour depends on the supported email integration and configuration; receiving a reply does not make an arbitrary sequence stop automatically.

Prepare the right template for the record type and check its merged values. If you need the same design for Leads and Contacts, use the template cloning process rather than maintaining two designs from scratch.

Define entry, exit and re-entry

Write down the sequence's rules before activating it:

  • Which event makes someone eligible to enter?
  • What happens if the event arrives twice?
  • Should a reply, purchase or changed sales status end the sequence?
  • How is an unsubscribe reflected in the process?
  • Can the same person enter again, and under what conditions?

A person can qualify for more than one workflow. Decide whether the sequences may run together or whether one should exclude the other. Keep sales and marketing aware of that decision so a manual conversation and an automated email do not work against each other.

Test the complete sequence

Use test recipients you control. Follow one through the normal path and others through the exceptions: reply, unsubscribe, change status and repeat the entry event.

Inspect the sender, subject, personalisation, links and timing at each step. Check what happens to messages that were already scheduled when a person becomes ineligible. Do not infer that behaviour from the workflow diagram alone.

After launch, review replies and completed customer actions alongside delivery activity. Keep someone responsible for updating the sequence when the sales process, product or audience changes.
